Setting Up Booking Quotas

Create booking quotas to control how many appointments customers can make based on their subscription plan.

Where to Find This

Navigate to Services → Booking Management tab → Plans sub-tab to set up booking quotas.

What Are Booking Quotas?

Booking quotas let you:

  • Limit bookings per time period (e.g., 4 sessions per month)
  • Differentiate plans - premium customers get more bookings
  • Control capacity - manage your time effectively
  • Set rules - define cancellation policies and advance booking limits

Quick Setup (Per Service)

The easiest way to set quotas is directly when configuring plan access:

1. Go to Plans Tab

Navigate to Services → Booking Management tab → Plans sub-tab.

2. Select a Service

Click on the service you want to configure.

3. Enable a Plan and Set Quota

For each subscription plan:

  1. Toggle the plan to Enable.
  2. Toggle Set Quota to enable booking limits.
  3. Configure:
    • Sessions per Period - How many bookings allowed (e.g., 4)
    • Quota Period - How often it resets (Daily, Weekly, Monthly, etc.)
    • Period Multiplier - For custom periods (e.g., 2 = "every 2 months")

4. Advanced Settings (Optional)

  • Advance booking window - How far ahead customers can book (e.g., 30 days)
  • Cancellation notice - Minimum hours required to cancel (e.g., 24 hours)
  • Allow recurring bookings - Let customers set up repeating appointments

5. Save

Click Save Changes. The quota applies immediately to new bookings.

Shared Quota Pools

Use pools to share quota across multiple services:

When to Use Pools

Example: You offer Personal Training, Nutrition Coaching, and Fitness Assessments. On your Premium plan, customers get "8 sessions per month total" - they can split between any combination.

Creating a Pool

  1. Go to Services → Booking Management tab → Plans sub-tab.
  2. Click Quota Pools.
  3. Click Create Pool.
  4. Name the pool (e.g., "Premium 8-Session Pool").
  5. Select services to include.
  6. Set total quota for the pool.
  7. Link to subscription plans.
  8. Click Save.

Customers now get one shared quota across all pool services instead of separate limits.

Tip

Example: 8-session pool across PT + Nutrition means customers could book 5 PT + 3 Nutrition, or 8 PT + 0 Nutrition, or any mix up to 8 total.
